Frequently Asked Questions
Answers to questions we often receive before a consultation or engagement.
Consultation and service
Can clients outside Okinawa use your services?
Yes. Using online meetings and cloud-based document sharing, we serve clients throughout Japan. Clients outside Okinawa are welcome to consult us about audits and accounting support.
Will the person handling our work change?
No. Atsushi Okabe, a certified public accountant, personally handles everything from the initial consultation to the completion of each engagement. Drawing on audit experience at a major audit firm and accounting experience at an operating company, we also handle accounting matters that require professional judgment.
Do you work online or in person?
We can work fully remotely using online meetings, email, chat and cloud-based document sharing. We can also visit you or meet in person if you prefer.
Can you prepare tax returns or give tax advice?
No. We do not prepare tax returns, including individual income tax returns, or give tax advice. For tax matters, please consult a licensed tax accountant (zeirishi).
Audit
Does Atsushi Okabe also handle audits on his own?
Yes. For audits requiring up to about 100 audit days a year, he serves as both the engagement partner and the audit staff, and basically handles the audit on his own. Because one person understands and manages the entire audit, quality is easier to maintain and no handovers between staff are needed. Scheduling is easier, and because he deals with your organization directly, communication runs smoothly. If the audit requires more days than this, or if another certified public accountant needs to be involved, for example at year-end, we will discuss this with you in advance.
Can we consult you about changing from our current audit firm or CPA?
Yes. You can consult us while you are still considering a change of auditor. We will ask about your current audit and what you are looking for in the change, confirm the schedule for the handover and the audit, and then explain how we would proceed.
Can we consult you if we are being audited for the first time?
Yes. We clearly explain how the audit proceeds, what documents are needed and what we will ask of your staff. By identifying the items that require close examination, we reduce your workload in preparing documents and dealing with the audit.
Do you audit school corporations and social medical corporations?
Yes. Atsushi Okabe has been involved in audits of school corporations, national and public university corporations, social medical corporations and others. Drawing on this experience, we handle audits of school corporations and social medical corporations as well as a wide range of other statutory audits.
Can we consult you about accounting treatments or internal control during the audit?
Yes. We respond to a wide range of questions about accounting in general, including accounting treatments, internal control and how to prepare the documents subject to audit, in principle within one to two days. You can consult us by whichever method you prefer: email, chat, online meeting or in person.
How far in advance should we contact you about an audit?
We recommend contacting us early, before the end of your fiscal year. We will ask when you would like the audit report to be issued and advise you on the number of audit days and the timing required. Even if your fiscal year-end is near or has already passed, please first let us know your preferred schedule.
Accounting support
Can we outsource only part of our accounting work, such as bookkeeping or closing?
Yes. You can request only what you need, such as bookkeeping, preparation of financial statements, reporting to your parent company or audit support. Without hiring new accounting staff, you can entrust specialized work, or work you do not have the staff for, to a certified public accountant.
Can we use your services while keeping our contract with our tax accountant?
Yes. You can keep your contract with your tax accountant and ask us to handle bookkeeping, preparation of financial statements, audit support and other work. The work can also be divided, with your tax accountant handling tax returns and similar matters and our office handling day-to-day accounting and year-end closing.
Can we ask you only to prepare financial statements?
Yes. We can prepare a complete set of financial statements and related documents, or just the documents you need, including those required under the Companies Act. You can also do your own day-to-day bookkeeping and leave only the preparation of financial statements to us.
Can you also help prepare audit documents and respond to questions from auditors?
Yes. We help prepare and organize the documents needed for the audit and answer questions from the auditors. Drawing on extensive audit experience, we reduce the burden that the audit places on your accounting staff.
Can you provide services on a monthly, semi-annual or annual basis?
Yes. We prepare financial statements and reports for your parent company on a monthly, semi-annual or annual basis, according to your needs. We tailor the documents to their intended use, such as internal review or submission to your parent company, and meet your reporting deadlines.
Can we request support only at certain times, such as year-end?
Yes. We can discuss support for year-end work or for periods when your workload temporarily increases. In addition to year-round outsourcing, we accept requests limited to the periods and tasks you need.
Can we keep using our current accounting software?
Based on the accounting software you currently use, we will confirm the necessary work and how to share data, and propose how to proceed. When contacting us, please let us know the name of your software and the work you would like us to handle.
Do we need to mail original invoices, receipts and other documents?
Generally, there is no need to mail paper documents. Invoices, receipts and other documents are shared as PDFs or other data by email or cloud services. This saves the effort of handing over documents and lets you work with us smoothly from anywhere.
Can we change the scope of work after signing the agreement?
Yes. You can discuss adding to or revising the scope of work as your accounting setup or workload changes. If the number of journal entries or the work requested increases, we confirm the revised work, schedule and fees with you in advance.
English support
Can you prepare reports and financial statements in English?
Yes. We prepare reports in English for your parent company and others, and financial statements in English based on Japanese accounting standards or IFRS (International Financial Reporting Standards). We can also prepare reports in the format and by the deadlines specified by your parent company.
Can you handle emails and meetings in English with our overseas parent company?
Yes. In addition to preparing documents in English, we handle emails and meetings in English about accounting work and submitted materials. You can also consult us about questions and requests for materials from your overseas parent company.
Fees and getting started
Can fees be kept down if we work with you fully remotely?
Yes. Both audits and accounting support can be provided fully remotely. This keeps down the costs of visits and the time spent handing over documents, allowing fees that are appropriate to the work involved.
How are fees determined?
For audits, we provide an estimate after reviewing the size and industry of your organization, the purpose of the audit, the number of audit days and other factors. As a guide, statutory audits start from ¥1,500,000 and voluntary audits from ¥500,000 (excluding consumption tax).
As an example of accounting support fees, bookkeeping for up to 1,000 journal entries per month plus preparation of a full set of financial statements costs ¥1,500,000 per year (excluding consumption tax). The financial statements include those required under the Companies Act, as well as notes, supplementary schedules and similar documents. The specific documents are confirmed at the estimate stage according to your request.
For requests covering only part of the work, or including audit support, reporting in English or other services, we provide an estimate based on the work you require and the workload.
In all cases, we enter into an agreement only after you are satisfied with the scope of work and the estimate.
What should we prepare before getting started?
First, please let us know the work you are considering, your preferred timing and the current status of your audit and accounting. For accounting support, the estimate will go more smoothly if you also tell us your approximate number of journal entries per month, your accounting software, your fiscal year-end month, and the documents you need and when. We will then let you know which materials we need, such as financial statements and accounting data, and how to share them, depending on your request.
